Unlock the Hidden Power of macOS Preview

macOS is packed with a multitude of helpful productivity tools, but because there are so many features buried deep inside the operating system, some of the most useful utilities often get completely overlooked. When you receive a document that requires a quick signature, your default reaction is likely to hunt around for third-party software or subscription-based web tools. However, the fastest and safest way to sign any document is already built right into your Mac using Preview — the default app you probably open every single day.

While most everyday users only utilize Preview to view quick images or skim through standard PDF files, it actually packs a surprisingly robust set of markup and editing tools hidden right under the hood.

The Easy Way to Sign PDFs on Your Mac Without Opening an App

Signing any PDF on your Mac takes just a few clicks once you know where to look. In fact, you do not even need to formally open the PDF application interface to get the job done.

To start, click once on your target PDF file in Finder or right on your desktop, then simply press the spacebar to launch macOS Quick Look. From the Quick Look preview window, click the small pen icon located in the top toolbar, followed immediately by the Signature icon, which resembles a small scribbled line.

How to Capture and Save Your Digital Signature

Once you access the signature tool, macOS provides multiple versatile ways to create and store your digital signature:

  • Trackpad: Click the Trackpad tab, sign your name directly on your laptop's trackpad using your finger, and press any key when finished.
  • Camera: Write your physical signature clearly on a blank piece of white paper, hold it up to your Mac’s FaceTime camera, and let the software align and capture it automatically.
  • iPhone or iPad: If you use Continuity, you can select your connected iOS device to draw a smooth signature directly on your phone or tablet screen.

Once your signature is successfully captured, simply click 'Done' to save it to your dropdown list. From there, you can click your saved signature to drop it straight onto the page, drag it effortlessly into place, and resize it as needed to fit the signature line. Save the document changes, and you are all set!

Managing Your Saved Signatures

If you ever need to clear out clutter or remove an outdated signature later on, managing your list is just as simple. Open the signature menu dropdown again within Preview or Quick Look, and hover over the signature you wish to delete. Click the small 'X' button next to it to permanently remove it from your Mac.
